This document outlines the key milestones, timelines, and
resources for faculty navigating the Promotion and Tenure
process within the Department of Surgery. It is designed
to guide candidates through each phase—from initial
preparation to nal dossier submission—while highlighting
the individuals and tools available to support your success.
Please review the information carefully to ensure a smooth
and well-prepared advancement process.

PROMOTION & TENURE QUICK REFERENCE
Early May
Inform Shelly Moore of your interest to be included in the next promotion cohort.
Late May / Early June
Attend Dr. Torbeck’s rst education session: How to Create Your CV and Candidate Statement.
June (Early)
Carefully review Shelly Moore’s email outlining key deadlines, links, documents, and resources.
Begin planning for two peer reviews of teaching to include in your dossier.
Ongoing
Review your responsibilities on the Formative Review Checklist to stay on track.
August (Early)
Contact Dr. Stefanidis to request your teaching evaluation feedback for reection and integration into your
materials.
August (Late)
Submit your near-nal CV and Candidate Statement to Shelly Moore by August 31.
October (Mid–Late)
The Promotion & Tenure Committee meets to review CVs and Candidate Statements.
October (Late) / November (Early)
Receive feedback on your progress and submitted documents from Drs. Schmidt and Ceppa.
November (Early) – December (Early)
Revise your CV and Candidate Statement based on feedback. Begin compiling a list of potential external
reviewers with your Division Chief.
January (Mid)
Submit your updated CV and Candidate Statement by January 15. External referee lists from the Division Chair
are due at this time for promotion candidates.
February (Early)
Attend Dr. Torbeck’s second education session: How to Prepare Your eDossier.
February (Late) – March (Early)
You will be notied when your eDossier is ready for access.
March – April
Prepare your eDossier materials for upload.
April (Late)
Upload all dossier content to the eDossier system no later than the end of April.
May (Mid–Late)
The Promotion & Tenure Committee reviews and votes on candidates for promotion and/or tenure. Drs. Schmidt
and Ceppa will share feedback from the vote by the end of that week, allowing time for nal edits.
June (Early)
Upload all nal dossier documents in PDF format to eDossier by June 9.
June (Mid–Late) - Your dossier will be reviewed for formatting and correct placement. Ensure documents are
single PDFs and uploaded in the appropriate folders.
Important: If including patient feedback in appendices, redact all PII/PHI before uploading.
By June 30
Final dossier submission by Shelly Moore.
Ongoing (NovemberJune)
Expect periodic feedback from committee reviews. Final outcomes are typically known by late June, if not earlier.
