Occupancy and Move Management are where TCC separates ourselves from the competition. So often, a Project Management firm will get you through Certificate of Occupancy, but you, the owner is left with a vacant building. At TCC, we understand the lift it takes to oversee and manage end users expectation, deliveries, wind down/ramp up plans, and moves, all while trying to deliver your mission.TCC helps manage early on change management planning as well as all aspects of your move and occupancy efforts from close out to operational readiness. Using our proactive, detailed, and strategic approach, we ensure a seamless hand off from construction activities to go-live, providing a true owners representative experience.What does that mean for you? It means our team will build out an Activation or Occupancy Schedule that will include activities for the early occupiers. Within the newly constructed building, TCC completed a 24,000 sqft fit-out consisting of 6 operating rooms, 12 pre-op bays, 15 PACU bays, and associated support spaces for a joint venture between AtlantiCare and Rothman Orthopaedics. TCC skillfully lead construction and site-work for the facility within an active medical park ensuring no disruptions to ongoing operations. Expert project management was required to manage an aggressive schedule, user requested design changes during construction, and coordination and mock-ups with surgeon end users for specific requirements and operational flow.In addition, TCC solved long lead procurement challenges, permitting delays, and economical solutions to design changes. TCC’s Vendor & Equipment Coordination services will help your team coordinate key decisions, procurement and installation milestones, as well as training and turnover.Equipment and vendor coordination is so crucial from start to finish. TCC has established relationships with many equipment vendors and first hand experience with specific equipment requirements. and will work to ensure the design team understands the complexities of the new equipment coming in, or existing equipment that will be relocated during the move phase. Furniture timing and installation need to be carefully choreographed to eliminate the potential for any damage and properly coordinate infrastructure and user requirements. The last part is training. When it comes to new equipment, it’s important for there to be training to ensure a smooth transition into their new workflow or processes. TCC understands the regulatory requirements for training and proper turn-over of newly installed equipment. Move Management is the grand finale of each project. It is the last step before go-live and presenting your new facility or space to the public. Our team is experienced in moving a variety of spaces including patient rooms, operating rooms, labs, pharmacies, office space, and even patients when needed. So often movers are hired to support the move, but having an experienced Owner’s Rep in this phase is invaluable and ensure that the operational considerations that most movers will not think of, are addressed prior to go-live.When moving complex spaces, considerations need to be made for validation, commissioning, and testing of equipment, transitioning, programing, and training for IT and support services.. Driven by a desire to provide a modernized and more collaborative workspace, Fragomen retained The Carlin Collaborative to oversee the renovation of their New Jersey office. Rethinking the workspace environment, the project included updating their office, creating larger collaborative spaces, and providing more operational functionality, while still maintaining operations within the space.The project consisted of various phases and priorities within the project. Working with the Business Manager, the priorities were memorialized and communicated in a way that end users could easily understand for planning and deploying the project. The efforts included furniture relocation, technology disassembly/reassembly, construction, cleaning, & moving. Accountability, transparency, and clear communication was achieved by conducting weekly meetings with the team to ensure expectations were being met and any outstanding issues were resolved. TCC developed an aggressive scheduling plan that utilized phasing and creative coordination to expedite construction and move in. AVAILABILITY OF SPACE PLAN PROVIDED TO GENERAL CONTRACTOREXAMPLEOCCUPANCY + MOVE MANAGEMENT The Fragomen, Del Rey, Bernsen & Loewy, LLP project was a multi-phased refresh project that required the coordination of the contractor, IT, furniture vendor, and specialty subcontractors. TCC created the color coded plan show below and narratives to help coordinate the intricate phasing requirements for construction, furniture, IT, and landlord infrastructure. By coordinating daily activities with the client, IT, movers, construction, and end users, we were able to avoid operational disruptions, provide clear planning tools for end users and adjacent tenants. These are just snapshots of the multi-phased project and the coordination efforts that were completed by the TCC team during this project. All of the moves were coordinated daily by TCC with the client contact, IT support, movers, and end users.
