W1 Diary 2023-2024 Tim Moore Welcome to the new edition of our Planning Diary 2023-2024 This coming year I am going to be District Governor of W1. I am leading the district through a period of change. WA is moving from two districts to just one. We will be changing the management, not the clubs. This will enable our district to be stronger and easier to manage. Your club will not change, you will still come up with new great ways to help your community. To make it a better place to live and to grow. With this aim, I want clubs to do just one environmental Project in the year. It could be big yearlong project or a little one. The community we live in is our home. I want to see a safe clean place for Children and adults to live in. If we can reduce the amount that goes into landfill its got to be good for the environment with less waste in the ground. This will have a bigger impact for our communities. With fresh clean potable water. Less toxins getting into our food source and help save native animals which we all enjoy. So, over the year I will share with clubs all different ideas for environmental projects. From simple ideas to big ideas, whatever your club can handle. I want to see Lions in our community doing their best, I am not asking for someone else’s best but yours. I want you to help in any way you can, and do it with a smile. . My Theme for the Year I would like non lions to see what a great organization we have. Wear a lion’s badge in the community, even if you are out shopping or taking a stroll. Let people see you are a lion. If you are doing a project and giving it your best, take a selfie and share it with your friends. Let them see what a great time we are having serving our communities. Hopefully they will see and fill the need to help the community too. Let your best inspire them to join lions and make a difference. This year’s convention is at Curtin University and it’s a combined convention with W2. Come along and have fun, listen, and ask questions. We always learn new ways to make Lion’s great at conventions. No doubt over the coming year I will get to meet you in person. I want you to share with me and the executive team the fun and the projects you are doing. We can then share all the great work you are doing making your community are great place to live. W1 Diary 2023-2024 Message from W2 Governor DG Peter & Georgina Kenneday My Theme for the Year “Dare To Be” The end of an era....and with challenges yet to come! I think this comment will truly describe my year as DG for District 201W2. Firstly, this will be the fi nal year for this District. I will be the last of many active and strong District Governors that have forged this District into one that can hold it’s head up high and point to many successful Projects and service activities in our region. We have created many a liations and relationships with a huge array of strategic community leaders and groups in this time. Congratulations to all W2 Clubs, both past and present, for making this District what it is. I am so proud to lead you in 2023-24. Secondly, I look forward to the challenges brought up by the amalgamation of W1 and W2 at the end of my term. As people will understand, change is constant. Therefore, to keep this organization on top... we all must constantly change. For our District to stay on top, we must embrace change - or improvement as I prefer to say. Don’t be a Kodak! What I want to see is that this District continue to strive for growth and maintain its solid Club and Management practices – right to the end. I want to enter in the next phase with our heads held high - and not just with a whimper! To enable this District to achieve what it deserves, we will have to concentrate on several areas.... Membership: Embrace the concept of the Global Membership Approach. It is the way and means for your Club to continue and expand service activity in your area. Keep your eyes and mind open to new marketing ideas – and new concepts - for improving growth of Clubs. Strategise, plan, practice, prepare, enact, repeat, persist - is how you will achieve membership growth. Leadership: To enable the new Super District, as I call it... or District 201WA.... to move forward in its operations and take advantage of he resources that will be joined together, there will have to be a new Management structure. Just the logistics of getting around this State will force us into establishing a new District structure. It has been agreed that the only way possible is to set up a Regional Management level based around the current Zone level. The new Regional Chairs will undertake many of the traditional roles of the DG – but at the same time providing closer relations to the 2 or 3 Zones under their wing. This means closer access and contact for each Club and individual Member. Please make allowances for the people in these new Roles – and support them in any way that is needed. Service: All the Clubs in this District do this very well. However, to continue doing this, we must get more bodies on deck. And bodies that are younger so as to take the pressure off our ageing membership. Continue to find ways as to how to serve your Community. Do not hesitate to ask what your Community currently needs or wants. It is vital we stay current – especially to undertake meaningful service activities that appeal to the younger generations. We should strive to enhance our footprint on areas like environment and youth support - whilst continue the good work in areas that we are renowned for. A fine balance - but a balance that will propel this organization into the future. Lastly, my motto for the year is... ”Dare to Be..!!” How about we all join together and “Dare to Be” the best District we can be! 3

W1 Diary 2023-2024 As President and Chief Executive Officer of your Lions Club for the coming year, members will depend on YOU for direction. Members will measure your performance in terms of personal satisfaction and enjoyment, especially at meetings. To achieve success the President needs to show enthusiasm, vigour and dedication to the position. Be well prepared, and continually work to extend knowledge. That way there is every opportunity to be seen as a leader, a motivator and an organiser. Success depends on good planning and preparation. Good planning and preparation also make the job so much easier, and leads to a year of enjoyment, fellowship and achievement. Good communication is important too. Tell people what you want to achieve and ask for their help. Make sure goals are attainable. There will be odd occasions when your skills, and patience, will be well tested. Remember that you have your members to help you, and that the Zone Chairperson, District Governor, Cabinet Officers and other experienced Lions may be called on for assistance. Co-operates with and serves as an active member of the District Governor’s Advisory Committee of the zone in which the club is located. Duties of Club Secretary: Process monthly membership and activities reports through the Lions Account. Co-operates with and serves as an active member of the District Governor’s Advisory Committee of the zone in which the club is located. Has custody of and maintains general records of the club, including minutes of club and board meetings; attendance; committee appointments; elections; member information, addresses and telephone numbers of members; members club accounts. Ensures that the Remembrance and delegates/alternates forms for the District & MD Conventions are returned timeously to the Cabinet Secretary. Arranges for issuance, in cooperation with the Treasurer, of quarterly of semi-annual statements to each member for dues and other financial obligations owed to the club, collects and turns dues over to the club treasurer and obtains a receipt. W1 Diary 2023-2024 The Treasurer is the financial officer of the Lions Club and all official duties are under the supervision of the Club President and the Board of Directors. Visit the Lions Learning Centre to view more details on the Club Treasurers Responsibilities. On the Lions International website visit the Club Treasurer key resources. The duties of the Club Treasurer include: Receiving all monies, which are to be banked into the accounts approved by the Board of Directors. On the authority of the Board of Directors, issue cheques (never cash) in payment of Club obligations. Cheques must bear the Treasurer’s signature and one other club official. Prepare and submit financial reports for Board and club meetings on a regular basis (at least monthly). Serve on the Club Finance Committee, usually as Chairperson. Prepare an Administration budget at the beginning of the year. Maintain a ledger of money owing and received for each club member. Ensure that the books are audited and that all necessary reports have been lodged with District Cabinet and others as required. Hand over to your successor all books, documents, club property and ensure bank account signatories have been changed at the bank. Work closely with your successor to ensure a smooth changeover. This is a brief outline of duties; however, it is by no means all the duties, which should be performed by the Club Treasurer. Club Membership Chairperson Membership Chairpersons are seen as an integral part of the team in this District. They are asked to attend incoming Club Officer Forums and District Governor Advisory Meetings (or Zone Meetings). MAIN DUTIES: Membership Growth – the addition of new members. Membership Development & Retention – education, involvement and stimulation of members. W1 Diary 2023-2024 LENGTHY/BORING MEETINGS ARE THE NUMBER ONE REASON FORMER MEMBERS CITE FOR DROPPING OUT OF THEIR LIONS CLUBS. • CLUB MEETINGS work best if they are stimulating, informative and enjoyable. • To achieve this the President would have: • An agenda for a meeting, which would be followed as closely to the minutes as possible. • A Tail Twister who is able to keep the meeting alive and interesting. • A determination to see that meetings are thoroughly planned beforehand and run according to the plan. • An ability to keep the meeting moving, thus avoiding members taking too much time with unnecessary topics. • Start and closure of meeting always on time. • Adequate meeting facilities. OTHER SUGGESTIONS 1. Visit another club and share the evening with them. 2. Use a member to give a program – make members feel needed and important. Train them for future leadership roles. 3. Share Praise Freely – Important to all members, and especially new members, is positive reinforcement for a job well done. 4. Develop a 10 to 15 - minute segment, which incorporates a Lions Quiz. You can develop the questions from the Orientation Manual. 5. Scramble Seating Arrangements – Change seating arrangements at meetings from time to time to allow all members to become better acquainted. 6. Lion of the Month – Highlight one member each month and have them give a presentation about something in their life. It could be business, their family, anything. 7. Think Positively – When considering any changes to your club, keep a positive attitude. Your club might be steeped in tradition and used to doing things a certain way, but that doesn’t mean you shouldn’t try something new. Today’s experiment could be tomorrow’s new tradition. W1 Diary 2023-2024 CLUB PUBLIC RELATIONS AND MARKETING CHAIRPERSON Public Relations involves all forms of communication – written, verbal and non-verbal. It includes writing news releases and distributing promotional flyers. Equally important are actions often taken for granted, such as wearing a Lions lapel pin and marching in a parade. Good public relations – informing the community that your club built the park, conducted the vision screening or collected the eyeglasses – will help foster community support. More information visit Key Resources on PR. Public relations can even support your club’s membership efforts. People want to belong to a successful and reliable organization. By actively promoting your club and its worthwhile activities, you’ll be projecting a positive image in the community and showing that your club is worth joining. DUTIES: Communicate information about your club to the community. Keep your club aware of PR efforts and results. Provide information to International Headquarters about outstanding programs and activities of your club, which might be of interest to regional and national media. Planning Ahead – Planning and timely execution are vital for your public relations efforts. Creating a Timeline – Determine how and when you will promote your club during the year and when you will start publicity for your club’s special events. The responsibilities of the Zone Chairperson are: • To further the purposes and objectives of the International Association of Lions Clubs. • To work closely with all the District Officers. • To attend all regularly scheduled meetings of the district as provided for in the District Constitution. • To play an active role in organising new clubs. • To serve as Chairperson of the Zone Meetings and hold three meetings annually. • To visit regularly the meetings of each club in the zone within the first quarter of the term in office and to report these visits to the District Governor. • To be informed about the activities and the well-being of all the clubs in the zone and to suggest and implement methods for assisting all the clubs within the zone, especially clubs on the status quo, young clubs, and clubs with problems. • To initiate the exchange of ideas on programs, projects, activities and fundraising methods in the club. • To create a good understanding within clubs about the District, Multiple District, and international programs. • To make sure that every club within the zone respects its constitution and bylaws. • To promote club representation at international, multiple district and district conventions by the full quota of delegates to which clubs are entitled. • To represent any club in the Zone which has a problem with the District, the Multiple District, or International headquarters. • To recommend qualified clubs to the District Governor for the Club Excellence Award. • To perform other functions and duties as required by the District Constitution as well as the Please visit the Lions International website Zone Chairperson’s Key Resources for more information. Is a new format needed? • Is the club active on social media? • Are members invited to share their ideas and feedback – so they know their input is valued? • Does the club conduct meaningful inductions? • Are the efforts of members appropriately recognised? Remember... To maximize your success for a Stronger Healthy Club should be based on strategic goals established with input from club members. Make sure your club goals are SMART: SPECIFIC: A specific goal has a much greater chance of being accomplished than a general goal. You will have more focus if your objective is clear. MEASURABLE When you measure your progress, you stay on track, meet your target dates and experience the exhilaration of achievement that spurs you on to continued effort required to reach your goal. If you can’t measure it, you can’t manage it. ACTIONABLE Make sure you have some control over the accomplishment of your goal. If there is nothing you can do, you won’t succeed. REALISTIC Goals should be challenging but not so much that there is no chance of achieving them. TIMEBOUND Set a timeframe for the goal: next week, in three months, by the end of the year. Putting an end point on your goal gives you a clear target toward which to work. Where to focus for success! 15

Please contact her if there are any changes to your clubs planned visit. • Check that Form 2 Names of Delegates and Alternates for the District Convention has been forwarded to the Cabinet Secretary. TREASURER • Clubs with outstanding International Dues can be placed into financial suspension at the end of the month. If unfinancial, the Club Delegates will be unable to vote at District Convention. Note that individual Lions nominating for Foundation positions must also be personally financial. • Financial Suspension – if you have unpaid International dues at the end of September your club could be placed into financial suspension. This means that your Club Charter will be temporarily cancelled until this is rectified, and you will not be able to operate as a Lions Club. • District Convention – All eligible delegates must be members in good standing of a club in good standing in this District. Delinquent dues may be paid, and good standing acquired up to fifteen (15) days (by the 30th September) prior to the close of credential certification, as such closing time shall be established by the rules of the respective convention. • An audited copy of last year’s accounts must be submitted to the Cabinet Treasurer no later than 31 October. Time is getting short! • Start training incoming President, Secretary, Treasurer and Membership Chairperson, and strongly encourage them to attend the Incoming Club Officer’s training in your area. • Point the incoming officers to the Lions Account and the learning centre where there are a number of courses that they can go through to start familiarizing themselves with their upcoming role in the club. • Have all members received attendance awards to which they are entitled? SECRETARY • Complete MyLCI report from the 25th of the month and ensure all Members’ details are kept up to date. • Complete your club’s activity reports online in MyLion or on the MyLion App on your mobile phone. • Order your District Officers & Lions Club Planning Diary through your Cabinet Secretary. • If a new club secretary is taking over, it is a good idea to start the training now. TREASURER • Arrange club audit with your Auditor. Have you started your Internal Audit? • If a new Club Treasurer is taking over, it is a good idea to start the training now. W1 Diary 2023 - 2024 PRESIDENT • Reports from the Host Club for the District Convention and Directors of Foundations and Institutes must be received by the Cabinet Secretary 60 days prior to the date of the next District Convention. Has your Club submitted nominations? • Finalise arrangement for the Club’s Installation Night, with a full agenda/program including a list of Members designated for various duties on the night. • Has your incoming President visited the Lions Account and gone through the training available in the learning centre? • Done a good job? Have your Secretary fill out the form for your Clubs Excellence Award without delay. The forms available on the LCI website. Have the DG sign it before sending the form to the Cabinet Secretary. SECRETARY • Complete MyLCI report before 25th of the month and ensure all Members’ details are kept up to date. Membership as of 30 June is used to calculate semi-annual dues for the first 6 months. • Complete your club’s activity reports online in MyLion or on the MyLion App. • Notices of Motion of a District Project nature must be received by the Cabinet Secretary 90 days prior to the District Convention and Notices of Motion of an Administrative nature 60 days prior to the Convention. • With the incoming Secretary, check that the Club has full supplies of forms, badges, new Member kits, etc. and that filing, Members’ information, etc. is completely current for your new Secretary. Has your incoming Secretary visited the Lions Account, familiarised themselves with the Lions Account and gone through the training in the learning centre? • Advise Members of the Multiple District 201 Convention decisions. TREASURER • Makes arrangements for the audit of your Club’s accounts in July, and with your new Club Treasurer send out Dues accounts for the first six months of the new Lions year. • Make sure that your Incoming Treasurer has an End of Year balance for all accounts (unaudited where necessary) and cheque books and all necessary equipment for the year ahead.
