SOUL Concierge Sparkle Coordinator Purpose of our Studio SOUL endeavors to welcome everyone of all ages so they can delight in inspiring classes and feel confidence in every aspect of their experience with us With complete joy and warmth we are client focused and strive to make SOUL their home away from home With an unparalleled team of talented faculty who lead the area with their experience and expertise in the aerial performing arts We offer possibility inspiration and empowerment for every client with every single detail from the first moment they are introduced to SOUL Our staff faculty are an integral part of that magic and sparkle Purpose of this Role This studio management role is to support SOUL in it s mission vision and values This role is client focused studio driven and one that ensures our clientele has the best possible experience better than any other place they have been We are looking for a superstar at the front desk for an exceptional and committed professional who is willing to go above and beyond not only with their duties but truly making a difference in each client and family we serve every phone inquiry or email we receive Responsibilities of this Role 1 Help manage the front desk and behind the scenes operations 2 Provide a delightful warm welcome to our studio community and those who contact us Nurturing new contacts and clients where every contact instills trust and confidence as a consumer 3 Working to retain every customer who we serve and bring in new clientele based on their first contact with us 4 Oversee the day to day studio needs and making sure there are no loose ends Greeting customers answering phones and striving to never miss a call working with the admin team on new student inquiries working with admin team on retention program making sure teachers are aware of any changes and keeping them informed 5 Managing and understanding our Adult Kids Parties and Venue Rental programs along with outside performance requests 6 Assisting and reporting to the owner director for any and all happenings follow through or needs 7 Learning each customer s name quickly and always using their name when they walk in the door 8 Providing a daily log of all activities conversations and the like to owner 9 Responsible for all the Sparkle Magic programs at the studio Must be creative and create fun innovative wow factors and sparkle that our studio is known for Sparkle Magic include
10 11 12 13 14 15 16 17 18 19 20 every new student receives hand written thank you notes small gifts monthly contests rewards referrals program birthdays keeping our student boards up to date event planning and coordination working with local community businesses for cross promotion events and incentives managing our SOUL Gold Platinum Diamond programs as well as the parties Providing a tidy clean and attractive environment maintaining hallways entry and the studio by taking out the trash checking the bathrooms vacuuming sweeping and keeping front glass doors clean Also making sure each studio is ready for the instructors and they have what they need to begin class Additionally helping to follow and implement all COVID 19 Safety protocols Learning how to manage and complete sales of costumes tickets and merchandise for both children and adult programs Eventually taking over this role Being extremely confident in all aspects of the company and beyond knowledgeable about SOUL to provide excellent customer service Must have a thorough understanding of our policies website all class options what happens in each class pricing dress code and registration Knowing when to ask for help and being comfortable with feedback Be our party liaison for all party planning and venue rentals Must be able to sell a party and book it Parties require follow through and must have complete knowledge of how parties work here at the studio Process payments manage transfers cancellations and additions through our scheduling and payment system Wellness Living Assist with all shows and events at the studio including set up management of volunteers providing a welcoming environment for all who attend events and shows Work directly with admin team on database management of retention programs advertising and marketing materials and calendar management Maintain the SOUL Deskbook and systems manual for all procedures included with job company and onboarding of clientele Participate in all team trainings outings retreats and events Develop new and creative Sparkle Magic for the studio in conjunction with owner and admin team Responsible for implementing and maintaining these programs with data to show results How Success is Measured and Defined Assisting Director by achieving punctual results and innovation across all areas of responsibility above Ensuring all customer experience is always stellar Surprising clients and exceed their expectations with service and communication Providing excellent support for owner faculty where things are seamless and all behind the scenes responsibilities are taken care of Keeping all databases updated and programs updated Exceptional attention to detail which directly reflects the values and mission of the studio Beautifully effectively and clearly communicates both in person and in writing every time Success is o A true desire to serve our clientele o A love of all ages o Impeccable manners integrity and grace in all situations o A great team player
