ProfileEllicott Property Services, a division of Ellicott Development Company, is a multi-faceted, fully integrated Property Management, Leasing and Development Firm with the capacity to provide administrative, financial, building management, accounting, development, site selection, site assemblage, architectural design/drafting services, construction, leasing, maintenance, janitorial and security services.Since the purchase of the Ellicott Square Building in 1973, our portfolio has expanded to property developments throughout Niagara, Upstate New York and into Western Pennsylvania. At present, our team is responsible for the management of over 5,000,000 square feet of office space in Downtown Buffalo and surrounding areas, over 1,500,000 square feet of retail space throughout New York and Western Pennsylvania, and over 1,500,000 square feet of hotel, residential apartments, condominiums and townhomes in the Buffalo/Niagara region.Our firm’s extensive knowledge in all aspects of real estate development and management, has gained us a high standing reputation and several awards from industry leaders and organizations.

MaintenanceEllicott Property Services will carefully oversee current building personnel, including building engineer(s), maintenance staff, front desk staff and garage attendants and coordinate with this staff to accommodate the needs of your building, including the common areas, valet, all mechanical systems and upon request, individual units.We will develop a personalized maintenance plan for you, which include services you need to maximize the safe and efficient utilization of your building. Emergencies will be handled immediately. The safety of your building and occupants is our primary concern.Services include:• Single contact point for emergencies/repair/maintenance• Periodic maintenance recommendations for Board approval• Estimating cost of repairs and projects.• Routine seasonal maintenance• Review/evaluate security, parking and garage valet services• Evaluate building systems to identify cost savings opportunities

Repairs& ProjectsWhether it is a one-day repair or a month-long project – Ellicott Property Services will manage it from beginning to end. We treat each property as if it were our own, and therefore expect the highest quality work. No repair or project is considered complete until it meets our own standard. We will secure licensed and insured professionals to provide necessary services including but not limited to: painting and plaster work, electrical, plumbing, sewer repair and clog removal, roofing installation and repair, concrete and cement work, pointing, gardening/tree trimming, pest eradication, architectural planning and design, and engineering.Services include:• Evaluate and estimate the scope and cost of potential repairs or projects.• Propose and evaluate work on repairs or projects over $500.• Obtain multiple bids on projects over $2,500 and obtain approval on the scope and cost of each of these projects.• Hire contractors to complete the approved repair or project.• Manage contractors, project plans, construction and repairs.

AccountingThe Manager will supply full accounting services for the Board. A separate financial management system to track and report on all financial activities. Clients receive financial reports of all activities both monthly and annually.Document ManagementCommon ChargeCollection One of the most important responsibilities of a managing agent is enabling the owners of a building to keep tight control of all costs. Ellicott Property Services keeps a detailed record of all financial transactions related to its clients that enables creation of financial reports that can contribute to preparation of the property’s tax returns and annual financial statements. We offer a standard collection process that ensures owner common charges are collected in full and accurately accounted for. In the course of managing a building, various matters may arise, including representing the Property’s and Owner’s interests at important community meetings (ex. Coop/Condo Association meetings), requiring a document repository for your important legal documents, including insurance policies, deed, etc., correcting minor violations, responding to government agency requirements, etc.

Ellicott Property Services performs a range of services related to governmental, regulatory, and financial issues for your property. Examples of such Services are:• Insurance renewals• Tenant application processing and background checking• Lease, rider, and related document drafting and execution• Responding to Governmental documentation requirementsWe evaluate each issue individually and use the most cost-effective level of service to ensure we fully satisfy each job’s requirements. BusinessServices At your request, we can coordinate the payment of all invoices related to the operation of the property. The steps that will be followed include:• Verify validity of invoices• Prepare checks• Obtain owner approval on non-standard large payments over $1,000 (two thousand dollars)• Make paymentsBilling & Payments
