Message Lower School FAQs Academy-wide Where can I find a complete list of the Lower School’s Policies and Procedures? Please refer to the Academy-wide Student Handbook. Where can I find my student’s ID number? On the homepage of the Parent Portal you will see your student’s picture. If you hover over the picture with your cursor, the ID number will appear. Another way to find the ID number would be to access your student’s billing account. Student ID numbers are on all invoices. How do I know if the school is closed due to inclement weather? On the rare occasion when Woodward Academy must cancel school, you will be notified in several ways, including an Academy-wide email. More information may be found in the “Weather & Emergencies” section of the Parent Portal, under the Frequently Used Links. Do I need to apply to Woodward again for next school year? You do not need to apply to Woodward again, but you do need to re-enroll. You will receive a re-enrollment email on February 1, and you will have until March 1 to sign the re-enrollment agreement and pay a non-refundable, non-transferable deposit of $3500 to secure your student's space for 2025-2026. The deposit will be applied toward your tuition balance. Absences, Late Arrivals and Early Dismissals What is the procedure for absences? If a student is going to be absent, please email absls@woodward.edu and the homeroom teacher. What is the procedure for a student who is tardy? Students are considered tardy after 8:20 a.m. If a student is going to be tardy, please follow the same procedure as an absence and email absls@woodward.edu and your child’s homeroom teacher. Please note that an adult must accompany any student coming into the building to sign in tardy. What is the earliest my student can arrive at school? Morning Care at the Lower School is from 7:15 am to 8am. During this time the students will be supervised and have access to developmentally appropriate books and games. Students who arrive between 8-8:20 am will go directly to their classroom. Students are tardy after 8:20 am. What is the procedure for a student who is tardy? Students are considered tardy after 8:20 a.m. If a student is going to be tardy, please follow the same procedure as an absence and email absls@woodward.edu and your child’s homeroom teacher. Please note that an adult must accompany any student coming into the building to sign in tardy. What is the procedure if we know ahead of time that my child will be absent for another reason besides illness? Please contact your child’s teacher ahead of time concerning the absence so arrangements can be made. What is the procedure if my student needs to sign out before school is dismissed? Please send a note or email ahead of time to your child’s homeroom teacher. When you pick up your child, go to the front office to sign them out, and the office will call the classroom. Uniforms Where can I purchase uniforms?

Please check the “Shop Woodward” section of the Parent Portal, in the upper right corner, for uniform guidelines. It is important to securely label your child’s uniform. What are Spirit Fridays? On Fridays, students may wear any Woodward t-shirt or sweatshirt with their uniform khaki bottoms. Students may wear the shirt they received at the reception or visit the Campus Store. Campus Store information may be found in the “Shop Woodward” section of the Parent Portal, in the upper right corner. Do I need a special bookbag? The children can select any bookbag. We do request that the bookbags be clearly marked with the child’s name on the OUTSIDE of the bag. Some children have their names embroidered on their bags, or you can write it in black marker. Where do I get school supplies and books? School supplies and books for grades Pre-K to 6 will be provided by Woodward Academy. A bill will be sent to you at the end of September or early October. Teacher Communication What is the best way to communicate with my child’s teacher? The best ways to communicate are via a written note in the homework folder, by email, or voicemail. Lower School teachers are very accessible and eager to address any concerns or questions parents may have as soon as possible, from Monday through Friday. How can I schedule a conference with my child’s teacher? Parents can request conferences through the counselor, teacher or office at any time during the year. When will I know who my child’s homeroom teacher is? We plan to notify parents of their child’s homeroom assignments a few days prior to the start of school. Health Services How do I contact the Lower School nurse?

You can reach Nurse Sullivan by email at phyllis.sullivan@woodward.edu or call the infirmary at 404.765.4423. What is the procedure if my child needs to take medication during the day? Please leave the medicine in the front office for the nurse, with written instructions on dosage and times to be given. The school nurse will contact you with any questions. What if my child has a food allergy? Please contact the school nurse and your child’s teacher so the necessary arrangements can be made. We request that parents refrain from sending in any snacks with peanuts, tree nuts, and traces of nut oils, for the safety of our children. For your convenience, we have compiled a list of nut-free snacks and nut-free bakeries, which will be provided for you. How do I access the needed health forms? Using the Parent Portal, navigate to Health Records (left hand side under “Student Accounts”). You will automatically be directed to the Magnus portal, where you can select your child and click the “Complete Now” orange tab. For the forms that need to be completed by your child’s physician, you should click “Print Blank Forms,” which will give you access to print those documents. Transportation How do I contact Student Transport (bus service)? Please call 404.765.4520 or email arrive@woodward.edu. In the case of a family emergency or transportation change, how do I get an urgent message to my student? We discourage messages during the school day because they interrupt class time. However, if you need to send an urgent message, please call the front office and speak to someone. It is very important that all messages are called in by 2 p.m. to ensure that any time-sensitive requests are taken care of before dismissal. Please do not email the homeroom teacher because he or she may not see your student for the remainder of the day or may be absent. What are the procedures for afternoon car riders?

Students must wait for their ride at the designated pick-up areas at the north, south, or front carpools. Each parent or designee will have a placard with the students name placed in their front windshield. These placards will be distributed on Meet the Teachers Day in your child's homeroom. How do I find families to create a carpool? Using the Parent Portal, access the Student Directory (left hand side under “Directories”). Once there, navigate to the “Household” tab, where you will see “Nearby Student Households”. This will allow you to access households within 10 miles of your home and reach out to create your carpool. What if I want my child to walk or ride a bike to/from school? With your permission, your child may walk or ride a bike to and from school. Written permission from a parent must be submitted to the front office for filing. Please include details such as destination and time of release. Bike racks are located at the front of the Lower School. How can I purchase bus passes? Bus passes for the semester or full year may be purchased through the Bus Registration link under “Student Accounts” in the top left corner of the Parent Portal. Please contact arrive@woodward.edu with any questions. Where can I purchase a MARTA pass? MARTA passes are offered by subscriptions through Woodward’s Student Transportation Department. Information on the MARTA subscription program is located in the Student Transportation section under the “Frequently Used Links” section of the Parent Portal. Please email arrive@woodward.edu for more information. After School Care and Activities How do I contact the After School Care Program? The After School Care Program can be reached from 3:05 p.m. until 6 p.m. at 404.765.4428. You can email the After School Care Director, Liliana Martinez, at liliana.martinez@woodward.edu. What is Tutorial and when does it start? Tutorial is an optional opportunity for Lower School students to get help with their academic questions once school has ended. Tutorial is from 3:17 - 3:30 p.m. What is the procedure for signing my child up for intramurals?

You may sign up for intramural sports through the Parent Portal two weeks prior to the day the sport begins. Spaces may be limited due to safety constraints, so we encourage you to sign up as soon as the forms are available online. How do I know if intramurals are canceled? If an intramural is canceled, we will make intercom announcements throughout the Lower School several times. Also, the coach in charge of the sport will send an email through Veracross notifying the parents. If my child receives a detention, when and where is it served? The dates for detention are every Tuesday and Wednesday. As a general rule, detention is served the week following the infraction. Detention is served from 3:30 p.m. until 4:15 p.m. in the library. Students who are bus/MARTA riders can catch the late service home. After detention is over, the instructor will send the students to After School Care. Visiting Lower School What is the process for parents/guests to visit the Lower School? All non-faculty individuals, including parents, grandparents, guests, etc., are required to be buzzed in at the main entrance and receive a Visitor badge. What are the front office hours? The front office is open from 7:45 a.m. until 4:30 p.m. Any voicemails left after 4 p.m. will be retrieved the following day. Please note that the office is closed on school holidays and weekends. In the event that school is dismissed early, the office closes one hour following dismissal. What do I do if my child lost something? Smaller items (glasses, watches, phones), will be kept in the office. Larger items (such as clothing, books, or bags) will be placed in the Lower School Lost & Found room located on the main floor. Missing P.E.-related items are in the locker room. If you suspect that your child may have something in Lost & Found, please feel free to come in and check. Students also are welcome to check at any time. Can I have lunch with my child? Yes! Please sign in at the office and get a nametag. Please do not visit the playground or classroom unless the classroom teacher has given you permission. Please sign out as you leave. We ask that you wait to come to lunch until after Labor Day so that we can establish our lunch routines. The only exception would be if a student has a birthday in the first three weeks of school.

Can I bring treats on my child’s birthday? Yes, parents are permitted to bring treats to celebrate birthdays during their student’s lunch. We ask that you inform the teacher of your plans and also check with them for allergies, the total number of students and specific lunch time. Parents are not permitted to go directly to the classroom during school hours. What if my child has forgotten his/her homework/book needed for school that day? If possible, please bring your child’s homework/book to the front office, and someone will make sure they receive it. Parents are not permitted to go directly to the classroom during school hours. What is for lunch? You may view monthly menus using the “Lunch Menu” button in the “Frequently Used Links” section on the right hand side of the Parent Portal. Parent Community How do parents sign up for volunteer opportunities such as class parties, events, teacher appreciation luncheons, or to help out in the library? At the beginning of the school year during registration, you will find sign-up sheets in your child’s homeroom for volunteer opportunities. You also can view opportunities to volunteer through the Lower Letter Newsletter in the Parent Portal. If there is something else you are interested in, please visit the front office, and we will get you in touch with the Lower School Parent Community Chair. How do I keep in touch with upcoming events, intramurals, and important dates? Please visit the Lower School pages (top navigation bar) of the Parent Portal, where the Lower Letter Newsletter will provide information on all events and important dates. What is the Parent Community and how can I get involved at Lower School? The Parent Community provides parents with an opportunity to enrich and enjoy their children’s experience at the Lower School and at Woodward Academy as a whole. The Parent Community hosts many events throughout the school year, and we welcome all parents to participate and volunteer their time and talents. You can get involved as much as you would like, and in any area(s) of interest to you, whether it is chairing a family event, volunteering to set up or work a shift, or even helping the
