Ensure the this plays until the end - and take the multiple choice test as many times as required topass the training. You will also find four sections of training videos relating to marketing, selling, registeringbookings etc within the ‘Online Academy’ in Inteletravel University. 1: Back Office SearchLog into your back office and click the ‘Book Travel’ menu. The ‘Stays’ option is a bed bank system which pulls in from a number of hotel bookingaggregators; including Booking.com, Expedia, Hotels.com and more. You can either search and book on behalf of your client, or alternatively the client can search and can book for themselves which is explained below. You can also book Activities, Cruises etc directly underthe Book Travel menu. If you are looking for flight only we would recommend to use a Preferred Partner instead of the ‘Flights’ menu.Click on ‘My Agent Website’ under ‘My Agency’ on the main menu to set up your personal Inteletravel website. Once approved by Inteletravel, yourpersonal website will contain the entire back office Book Travel: Stays/Flights/Cars/Cruises/Activities sections, and will allow others with your websitelink to search and make their own bookings independently like they would on public travel booking sites - except booking via your website means thecommission will automatically be yours instead. This way of booking is very underestimated - all you need to do is share your website link and letpeople know it’s a search engine which offers prices provided by many different online booking sites. You will be notified by email each time someoneregisters on your website as a new customer to browse (you cannot view what they search for, only what they actually book).2: Preferred PartnersSelect Book Travel > Preferred Partners. See following page for more info on our preferred partners.3: Booking Direct As an independent travel agent you can approach any hotel in the world with your travel industry credentials. You can also book directly with hotel brands using their travel agent portals. Use email templates provided in The Travel Vault or your team resources to explore this method.Ways We Can BOOKTravel Booking Guide page 3(Note that booking using the first two methods may be a more seamless way to collect commissions as less steps are required by the agent).
Before browsing or using any partner it is essential to:1) Review partner overview click on ‘Book Travel’ tab in back office system > Preferred Partners > scroll down to alphabetic list ofpartner tiles (icons) - then click on the each partner tile to display partner overview and importantinformation.2) Watch partner webinar ‘Education’ menu within back office system > Inteletutorial Library > under ‘Browse By Category’ menu on left > select UK only webinars. Webinars are displayed in most recently updated order first (you willwant to watch the most recent webinar from the partner, as partners will release new webinars whenthere are any updates to their booking systems).3) Register for your login as per the tile instructions (if a personal login is required). Note that some partners require an individual agent login and some will use a shared login - so be VERY careful not to change a shared login if this is the case! Some logins will take time for the partner to create and send out due to a high volume of new agents - so please be patient. Preferred PartnersTravel Booking Guide page 4
We have around 100 preferred partners and growing - however the majority of agents frequently only use a small number of them. Of course everyone will have different niches and types of clients - please use this as a guide only and spend some time researching the partners depending on the type of travel you will book. As a benefit of being in the travel industry, you have access to what are called industry (or agent)rates. These rates can never be guaranteed and may not be available at every property or on everydate - they are always subject to availability and discretion of the hotel (for example, a hotel mayonly be able to offer this rate for a certain number of rooms on any given date), and rates varyvastly. You must also be an active agent to be eligible for these rates.Within the training vault only available to our team - there is a spreadsheet containing a list of hotelbrands/groups which are known to offer industry rates to travel agents (note that this is not anexhaustive list but ones that we know of). Other hotels - including independent hotels andaccommodations - will usually require an email to be sent directly (see right for guidance).You do not need to register with every hotel brand on the agent rate spreadsheet;it’s worth choosing the ones that are of most interest to you. Note that it may take time for hotel brand registrations to be approved, so registering with the onesbelow (or your preferred brands) in advance may be beneficial if you wish to secure rates at shortnotice in the future. As a guide, we would suggest to explore/register with the following hotel brandsfirst:Emailing a hotel directly...some tipsit is strongly advised to create a travel emailaddress - you are a travel business owner afterall! Some agents purchase domains (e.g. IONOS,Go Daddy); but as a minimum it is suggested tohave a suitably named gmail account. Note thatsome hotels may not acknowledge gmailaccounts when requesting agent rates (such asJumeirah hotel group).Ideally find the reservations team email addressonline (consider calling the hotel first to ask for aspecific named contact to email in relation topersonal industry stay rates). Sometimes havingthe right contact here is key! Ensure to create and use a business emailsignature containing our agency credentials.The email itself...A standard email template is provided in the trainingvault as a basis - state your credentials (not your UKpin) and personalise your email to include what youcan offer the hotel as a member of the travelindustry. Remain professional, friendly and nonexpectant.Offer to write a detailed, positive review of the hotel - on Tripadvisor for example. Note: The following do not work with the travelindustry: Center Parcs, Haven, Alton Towers, SohoHouse, Legoland. Commission is set at a high 15% and therefore can be one ofthe best choices for client bookings. Prices are pulled in from thousands of aggregators and are updated frequently (even hourly)so always refresh the rates. Ratehawk often has fantastic rates, and the rates can sometimes even be cheaper than going to thehotel directly. You’ll also notice that sometimes the cheapest price isn’t always displayed at the top of the results, so it’s worthscrolling down to see if there is a good rate hiding amongst the rest! Make sure to watch the most recent webinar and read theFULL Ratehawk step by step booking guide (located in the training vault or your upline will send) when you make a booking. PREFERRED PARTNERS: Using a preferred partner will always be a commissionable rate. To do this do not google Ratehawk and sign up directly that way - you must register in the following wayto get set up with your Inteletravel linked account which will enable commissions to be paid to you.Send an email to uksalesteam@ratehawk.com - requesting your login in credentials and stating yourInteletravel sign up name, IATA number and UK Pin number. In order for the team at Ratehawk to identifyyou as an Inteletravel agent you must also send this email from the email address you used to registerwith Inteletravel. Ensure you’ve sent the partner terms andconditions and have written emailconfirmation that they wish to proceed withthe booking.Also, if it isn’t full balance required uponbooking, then consider the final paymentdeadline for the booking that you’re about tomake and ensure the client is aware of this.Good practice is to allow an extra two weekson the payment deadline - to ensure that wereceive the money in good time to pay thepartner.Step 2Check the relevant partner tile to see ifInteletravel is the merchant of record (MOR)for the partner you’re booking with - or if thepartner requires paying directly uponbooking. (i.e. if Inteletravel is MOR - the clientis required to pay Inteletravel via a paymentlink and then Inteletravel will pay the partner).It will be clearly stated under the heading‘how to book and pay’ within the partner tile ifInteletravel is MOR; and this will determine theprocess for payment. If Inteletravel is MOR, apayment link will need to be created. Please ensure you watch the training videobefore creating a payment link: CLICK HERE or go to your dashboard within your back office, scroll down & click on this red icon - watch the FULL video.Step 3Immediately before creating the payment link- reconfirm the cost with the partner toensure there is no increase or decrease inprice (if there is a price change inform theclient before continuing).Once the prepayment link has been created itcan be sent to the client by email - along witha summary of the quote and a copy ofInteletravel terms and conditionshttps://www2.inteletravel.uk/terms(some agents find it helpful to include theT&C link at the bottom of their emailsignature).Let client know that we work with live pricing,therefore prices cannot be held. Ready to book?Step 4If partner requires paying directly - followinstructions as per the partner tileinformation.(Each partner will have a slightly differentprocess so please follow their guidance).TIP: If booking screen asks for an emailaddress ALWAYS use your email address notthe clients. This way you can review and forward to the client from your email address.A partner may request the client telephonenumber in case of emergency.Step 5Register the booking:Every booking where there is commissionowed to you MUST be registered - so thatInteletravel are aware that a commissionpayment is due. If it is not registered thencommission cannot be paid. Booking must beregistered immediately after the travel hasbeen booked. To register a booking click BookTravel > Register Booking Screen - andcomplete the steps. Bookings made via back office Stays, Activities, Flights, Cars, Cruises don’t need tobe registered - they’re registeredautomatically. When booking these you haveoption to create a payment link to send to theclient rather than entering your client carddetails - select ‘add to itinerary’ rather than‘add to basket’. Payment links expire after 30mins to limit risk of price fluctuations for client.Step 6Once these steps have been taken, you cancheck that the booking has successfully beenregistered by clicking My Agency > MyCommissions. Scroll right down until youreach the Commission Report section andyour registered booking should appear here.Note that the commission amount will usuallystate zero until the commission is scheduledto be paid to you. Hotel Pre Checks: 48 - 72 hours after makinga booking - email the hotel directly to confirmthat the reservation has been received foryour client (an opportunity to also include anyclient requests etc). Email the hotel to againaround one week before client’s arrival toindicate their arrival time (if known) andkindly request that they be placed on thecomplimentary upgrade list.page 20
Your first travel commission paymentYou will receive an email from Hyperwallet (part of PayPal) when acommission payment has been transferred to you for payment. Yourfirst commission payment will require you to complete and submit aW8-BREN form (indicating if you are liable to pay tax in the US - refer toguidance in your new starter board/the training vault on how tocomplete this). Once this has been approved you are able to transferyour funds to your bank account. You can track the status of yourcommissions under ‘My Commissions’ in your back office.Travel commissions are always paid to both Inteletravel and the agentafter travel has taken place (this is industry standard practice) toprevent the need to reclaim any paid commissions in the case of atravel booking being cancelled.Inteletravel aims to pay commissions to the agent 30 - 90 days aftertravel has taken place; and relies on the agent having correctlycompleted each of the booking steps. Commission is split 70/30 to theagent (or 80/20 after £3500 is earned within a 12 month period) - this isthe highest split in the industry. Where Inteletravel is MOR (merchant ofrecord) there is also a small card processing fee which is deduced fromcommission - 1.5% for credit card and 1% for debit card payments.Getting paid TravelCommissionsWhen are travel commissions paid?page 21
When contacting a hotel directly it is important to be very clearabout your status as an independent travel agent with Inteletravel(providing credentials) so it’s clear you are eligible for acommissionable rate. The hotel must agree to a commissionablerate by email, with the % of commission clear.1Agree the commissionable rate in writing and timing of paymentrequired - ie: pay now or pay at hotel.2Register the booking in the back office under Book Travel >Register Booking - with email/documentation stating thecommissionable rate and the commission amount/percentage.3After travel has ended, agent must go to InteleHelp Hub (Helpmenu in back office) and click ‘submit a ticket’ at top right. 4Within Ticket Type select ‘Invoice Request Bookings’ andcomplete all sections. This will prompt Inteletravel to send thecommission invoice to the outside supplier. Without doing thisstep, the hotel will not be invoiced so it is crucial to remember todo this!5The commission invoice from Inteletravel will be sent fromquickbooks@notification.intuit.com. If you have a specific emailcontact at the hotel - use this when doing step 5 and inform yourcontact after travel that an invoice will be sent from this address(as sometimes it can reach spam folder).6Commissions forDIRECT bookingspage 22

Although our travel chat is full of recommendations (and please ask!) also keep in mind you are the travel agent - so use your back officeto find out what is realistic within budget. There is also lots of information on hotels online; make use of Google - best/top 10 lists forexample. Our preferred partners will usually be able to provide you with hotel suggestions based on client criteria - if you have traveldates and a maximum budget.Budget?page 23
Booking forYOURSELFvs Booking fora CLIENTDepending on who the bookingis for - either yourself with travelindustry credentials or a client -this is a suggested approach...AGENT BOOKINGS: Agent rate through either:- hotel brand agent portals(see agent rate spreadsheet)- email hotel direct - staff travel voyage/webhotelier/touchdownCLIENT BOOKINGS:Gather all pre quote information tosave you and the client time. If youcan do this on the phone or a 10minute zoom - even better - and willfilter out potential time wasters.Contact a hotel directly for a net rate. When booking flights, understand that theaviation industry works differently to hotels- with low commissions built in due toairport fees/ATOL so it may be better tobook flight directly with the airline.Choose the most appropriatepreferred partner or mix and match afew partners to obtain the bestquotes for clients. Ask partners tosource specific hotels if not showingon their systems.Check back office search for hotels -remember they include 3-10% commissiondepending on supplier (e.g booking.com).You won’t win every quote every time.Price travel elements separatelyincluding the client buying flightsdirectly with airline (more applicableto short haul with low cost flights). Use a preferred partner - taking intoconsideration the commission split you willreceive after travel.If you’re struggling to quote withinbudget - client will appreciate yourhonesty.
