Creating MPT Proposals After creating your opportunity – select “New Document” on the right hand side of your opportunity under “M-files Opportunity” Once you have clicked “New Document”, select the proposal that you would be using. You can use the search bar at the top and type in “2023” OR “2024”, depending on which year you are proposing The only difference between repeat clients and AAA clients is the AAA clients template does NOT include the option for the client to accept or not accept the QCE, it is already included in the base services. Once you select the proposal you will be using, Fill in the Metadata card in M-files. You must fill in anything with an “*” First is the Short Description, which is always the address – years of the proposal (Ex. 415 Grand Street-2023-2025), then you go down and fill in the rest and hit “Create.”
Once the proposal is created, put the date at the top of the proposal. Next, check to see if there is a C/O – you can check that in the account to invoice section in job in Salesforce. There may also be a “Critical Note” in the job that may state the C/O information. If there is no “c/o” you leave it as is. The next step is to fill in the device information and applicable pricing/totals. This information you can get from the job in Salesforce and if that information is not there, you have to check the NYC DOB website. FOR NEW CLIENT PROPOSALS FOR REPEAT CLIENT PROPOSALS NOTES: • Wheelchair Lifts, Vertical Lifts “v” units, and dumbwaiters do NOT receive a Category 1 test but they do receive a periodic inspection. • If the client wants us to witness a Category 1 test on a wheelchair lift we can do so, if we did the Category 1 test last year, please include it on the proposal. Once this information is filled in, select if the QCE is Annual or Semi-Annual with all applicable information. You can get this information from what the Client has done in the previous years. If it is a new job, you will know whether or not the Client wants Annual and/Semi-Annual. Fill in applicable pricing. Once the proposal is finished, you can assign to Nicole or myself for review. Please put either of our names in the document approver field in the meta data card in m-files. Once reviewed and sent out, mark the proposal as “Sent to Client” in Workflow in M-files. See next page.
