BRIGHT MINDS ACADEMYHOME OF THE YOUNG READERSWaitlistsTermination + WithdrawalAt Bright Minds Academy, we understand that demand for enrollment mayoccasionally exceed our available capacity. As a result, we have implemented awaitlist process to ensure fairness and transparency in admitting children whenspaces become available.To join our waitlist, interested families are required to submit a waitlist applicationform, indicating their preferred start date and any specific requirements orpreferences. As spots become available, we review the applications on our waitlistand prioritize admissions based on a variety of factors, including the child's age,program preferences, and the order in which families joined the waitlist.We strive to maintain open communication with families on our waitlist, providingregular updates regarding their status and estimated wait times. We encouragefamilies to keep us informed of any changes in their enrollment plans or contactinformation to ensure that they remain up-to-date throughout the waitlist process.While we understand that waiting for a spot can be challenging, our team isdedicated to accommodating families as soon as possible while maintaining thehighest standards of care and quality at Bright Minds Academy.We understand that circumstances may change, and families may needto withdraw their child from our daycare center. In the event that youwish to withdraw your child from our program, notice must besubmitted in writing via email or a physical letter, clearly stating thechild's name, last day of attendance, and the reason for withdrawal(optional). Parents are required to provide a minimum notice period oftwo weeks before withdrawing their child from the daycare center. Thisallows us to make necessary arrangements and inform our staff andother families about the impending change. Please note that parents areresponsible for settling any outstanding payments or fees owed to thedaycare center before the child's last day.

BRIGHT MINDS ACADEMYHOME OF THE YOUNG READERSTuition & FeesFees for care at Bright Minds Academy are as follows:Tuition fees are due on a weekly basis, by Monday morning of the current week ofattendance. Parents eligible for Child Care Assistance are responsible for paying tuition until thecenter receives an invoice of payment from the program. Any payments made beforereceiving the invoice will be credited to your account. Please note that tuition fees are not prorated for missed days; full tuition is requiredregardless of whether your child attends school for a week or a day.In the event that a child is terminated from the center, any tuition paid bi-weekly ormonthly will be reimbursed for the remaining weeks, except for the week oftermination, which is non-refundable.If your child remains at the center after 5pm, you will be charged a late fee of $5 perminute you are late. NO EXCEPTIONS.Should you encounter any challenges or foresee potential delays in makingpayments, we urge you to communicate with our administration promptly. We arecommitted to working with families to find suitable solutions and support yourchild's continued participation in our daycare center.

To ensure a smooth and organized pickup and drop-off process,we have established a comprehensive policy that prioritizes the well-being of ourchildren and promotes a positive experience for both parents and caregivers.Upon arrival, parents or guardians are kindly requested to accompany their child to thedesignated drop-off area, where a staff member will greet and assist them. Weencourage parents to allow sufficient time for the drop-off process, as it provides anopportunity for open communication between parents and caregivers. If there are anyspecific instructions or important updates, we encourage parents to share them duringdrop off. As an additional security measure, we kindly ask parents to sign in their child .Drop-off ProcedureDuring pickup, we request that parents or authorized individuals arrive at thedesignated pickup area at the scheduled time. If there are any changes in pickuparrangements, we require advance notice and written authorization from the parent orguardian. To ensure the privacy and safety of all children, we strictly adhere to the listof authorized individuals who can pick up a child. If an unauthorized person arrivesfor pickup, we will verify their identity and confirm parental approval before releasingthe child.Pickup Procedure

Only persons authorized by the child's parent or guardian arepermitted to pick up or drop off the child. To maintain this level of security, werequire parents or guardians to provide us with a list of authorized individuals whohave permission to pick up their child. To add a new designated person to the child's list of authorized individuals, parents orguardians must request an "Authorized Pickup Person Form" from our administration.This form requires basic information about the new designated person, such as theirfull name, contact details, and relationship to the child. Additionally, the parent orguardian must provide their signature as a consent authorization. Once the form iscompleted, it should be submitted to our administration for verification and approval.Once the new designated person is approved and added to the child's list of authorizedindividuals, they will be eligible to pick up the child as per the scheduled arrangement.

By adhering to the outlined parent responsibilities, we can worktogether to create a nurturing and enriching environment for all childrenin our care. AttendanceParents are responsible forensuring their child'sregular attendance at thedaycare center. If a childwill be absent, parentsshould notify the center inadvance to help withplanning.Be On TimeParents are expected todrop off and pick up theirchild at the agreed-upontimes. If unforeseencircumstances arise, parentsshould communicate withthe center to makeappropriate arrangements.CommunicationParents are encouraged tomaintain opencommunication withteachers and staff. Sharingimportant information abouta child's well-being, changesin routine, or relevant eventsat home is crucial to providecomprehensive care.Parents are responsible forkeeping an adequate supplyof their child's things atdaycare. This includesdiapers, wipes, formula,snacks, extra clothing,bedding, comfort items, andanything else the child mayneed while at daycare.Parents are expected toupdate their child'sregistration forms whenevernecessary. BRIGHT MINDS ACADEMYHOME OF THE YOUNG READERSParent CommunicationTo actively engage families and communicate their child's progress, our childcarecenter implements a comprehensive communication strategy that ensures regularupdates and fosters strong partnerships with families throughout the school year.Daily Communication:Daily Activity Reports: Each day, families will receive individualized digital reports viaour parent communication app, Brightwheel, detailing their child's meals, naps, diaperchanges (for younger children), and activities. These reports will also highlight keymoments, such as achievements or notable interactions.Classroom Updates: Teachers will share photos (if available) and brief summaries ofthe day's activities, including playtime, learning experiences, and special projects.These updates will help families feel connected to what their child is experiencing andlearning.Open-Door Policy: Teachers are available for brief discussions at drop-off and pick-uptimes to address any immediate concerns or questions.Weekly Communication:Weekly Newsletters: We will send out classroom newsletters every week, outliningupcoming themes, activities, special events, and important reminders. This newsletterwill also include suggestions for at-home activities that align with what the children arelearning.

BRIGHT MINDS ACADEMYHOME OF THE YOUNG READERSFamily CollaborationOngoing Family Engagement:Family Events and Celebrations: We will organize seasonal family events such aspicnics, holiday celebrations, and art showcases, which encourage families to engagewith the center community and celebrate their children’s achievements.Parent Volunteering Opportunities: Families will have the chance to volunteer in theclassroom or during events, offering them a hands-on experience with their child'seducational environment. Anyone volunteering in the classrooms must have a Stateof Louisiana fingerprint background check on file in the center office. All volunteerdays and hours must be approved by the Director. Each Volunteer will also be askedto sign an Assumption of Risk, Liability Waiver & Release.Digital Communication:Parent Communication App: Our app, Brightwheel, will serve as a central hub for allcommunication, enabling parents to send messages directly to teachers, receiveupdates, view their child’s daily reports, and access the center's calendar. The appensures that parents stay informed and engaged, even when they are unable to visit inperson.Social Media and Website Updates: We will maintain an active presence on socialmedia updated with relevant/public facing appropriate news, upcoming events, andresources for parents.As long as your child is enrolled in the center Bright Minds Academy has an open-door policy. You may visit the center at any time during normal operating hours. Bright Minds Academy reserves the right to request identification from anyone entering thecenter. This is for the protection of your child.

In the event that afamily has concern with the professional or administrative practices displayed thefamily should discuss the matter with the child’s teacher. We prioritize play-based learning, social interaction, and the holisticdevelopment of every child in our care, ensuring they thrive both academicallyand socially.Founded over 30 years ago as St. Jude Learning Center by Mr. Robert H.Trufant III and Mrs. C. B. Trufant, Bright Minds Academy has a rich historyof serving the children of New Orleans. Since 2004, the center has been underthe ownership and direction of Xiomara Trufant Smith, continuing the legacyof excellence as “The Home of the Young Readers.” Bright Minds is a Type III Facility proudly serve children from 6 weeks to 12years old, maintaining a strong commitment to fostering a love of learning andproviding a solid foundation for future success.

BRIGHT MINDS ACADEMYHOME OF THE YOUNG READERSDevelopmental ScreeningsAt Bright Minds Academy, developmental screenings play a crucial role in identifying andsupporting the growth and development of each child. These screenings provide acomprehensive overview of a child's physical, cognitive, social-emotional, and languagedevelopment, helping to identify potential delays or concerns early on. Through regularassessments and close collaboration with families, our trained staff can create personalizedlearning plans to address individual needs. By ensuring early intervention and tailoredsupport, we help each child reach their developmental milestones and thrive in anurturing and inclusive environment.All screenings and assessments will be completed by classroom teachers in their assignedrooms. All teachers participate in professional development training on how to assessstudents and conduct assessments, via workshops, videos, and observational coaching.Assistance in these procedures can be provided by the Program Director or supervisors.ASQ developmental screenings are completed within the first 45 days of a child’senrollment in the center. This information is then discussed with parents after thescreening is completed. Screenings are completed according to the procedures of thescreening tool, the Ages and Stages Questionnaires (ASQ). A copy of the ASQ is shared withparents, and parents are encouraged to complete the screener based on their experienceswith their child at home and in settings outside the center.Developmental assessments are completed throughout the day and year using naturalisticobservation of the children’s interactions and behavior. Both group and individualobservations will be used to compile documentation. Various methods of informationgathering are used to document developmental growth of children. These methods includebut are not limited to work sampling, checklists, observation, and rating scales. Theseobservations are documented in the Teaching Strategies online assessment system.Developmental assessments are ongoing (year-round) with results discussed with the parentthroughout the year, both daily at arrival and departure and during two scheduledparent/teacher conferences, one each fall and spring semester. Data captured in the

This form is finalizedduring the parent-teacher conference with parents and teachers working together to setindividual goals/outcomes for children for the upcoming classroom period. The conferenceallows for the parents to raise questions or concerns about how the assessment method willmeet their child’s needs.Parents are asked to be involved in their child’s screenings, assessments, and planning viacompletion of checklists, information sharing, and home observations of skills andbehaviors. Also, the lead teachers discuss with parents the developmental milestonesreached, developmental progress, and developmental concerns on a daily basis.Lead teachers in conjunction with the Program Director will annually evaluate the currentscreening and assessment tools. Outside professionals and parent involvement are sought toinform this evaluation.Teachers plan weekly opportunities and activities for the classroom. Each child isconsidered and treated as a unique individual, so teacher stake the time to individualizeplanning for each child. Individualized planning is based on observations, parent input,Individualized Family Services Plans/Individualized Education Plans (if applicable), andASQ's. ASQ's look at developmental skills in the areas of communication, gross motor (largemuscles), fine motor (small muscles), problem solving, personal-social and social emotionaldevelopment. If the screening indicates a potential concern about a child's development,the Education & Disabilities Coordinator and Care Coordination consultant will work withthe teacher and family to monitor the child's progress. If developmental delays aresuspected, the Program Director in collaboration with the family will refer the child toEarly Steps for an evaluation.

Ourfacilities are routinely inspected, and we adhere to all local and provincialregulations related to health and safety in childcare settings. Our staffmembers undergo rigorous training in first aid, CPR, and emergencyprocedures, and we maintain up-to-date health records for all children andstaff. We have implemented thorough sanitation and hygiene practices,including regular handwashing, sanitizing of toys and surfaces, andmaintaining a clean and hygienic environment. Additionally, we closelymonitor and promptly address any health concerns or illness to prevent thespread of communicable diseases. Our aim is to create a safe and healthyspace where children can thrive, explore, and learn, while parents can havepeace of mind knowing their child's well-being is our top priority.We encourage a culture of open communication with parents andcaregivers to stay informed about any health issues or concerns. We kindlyrequest parents to keep their child at home if they show signs of illness orhave a contagious condition to prevent the spread of infections. Our healthpolicy includes guidelines for handling medication administration ifrequired, and we work closely with parents to ensure that all medical needsare addressed appropriately. In the event of an emergency, we haveestablished clear procedures for immediate action, and our staff is well-prepared to respond promptly and effectively. BRIGHT MINDS ACADEMYHOME OF THE YOUNG READERSImmunizationsThe Department of Health and Hospitals requires that all children entering a childcaresetting must submit proof of all current immunizations. We are not allowed to accept achild without their current immunization record. Each parent will be asked to providehe State of Louisiana Universal Certificate of Immunization with a valid expirationdate. We will ask for updated records periodically.Daily Health InspectionTeachers on duty are charged with the responsibility of performing a health checkeach day as children arrive at the Center. Teachers are to check and document forpossible symptoms of contagious illnesses, bumps, bruises, insect bites or otherinjuries. If noted, an explanation may be asked for from the parent or child. This isrequired by Department of Child and Family Services.If the teacher detects such an illness or symptom, the child will be isolated from otherchildren; the parent will be notified and will be responsible for picking up the childimmediately.Health CertificationTo ensure the safety of all children and to comply with the Department of Health andHospital’s regulations, Bright Minds Academy will enforce a strict health policy. Themedical information section in the Master Form must be completed and kept on file atthe center, to be easily accessible in case of an emergency.

BRIGHT MINDS ACADEMYHOME OF THE YOUNG READERSAbsence Due to IllnessTo maintain a safe and healthy environment, we have a comprehensive policyregarding absences due to illness. If your child is feeling unwell or exhibiting any ofthe following symptoms, we kindly request that they stay home to rest and recover.Fever: A temperature of 100.4°F (38°C) or higher indicates a fever, and thechild should remain at home until they are fever-free for at least 24 hourswithout the use of fever-reducing medications.Vomiting or Diarrhea: If your child has vomited or had diarrhea within thelast 24 hours, they should stay home to prevent the spread of infection.Contagious Illness: Children with contagious illnesses, such as chickenpox,strep throat, conjunctivitis (pink eye), or any other infectious condition,should remain at home until they are no longer contagious, as advised bytheir healthcare provider.Severe Cough or Difficulty Breathing: Persistent or severe coughing,difficulty breathing, or signs of respiratory distress require immediateattention, and the child should stay home until symptoms improve.Rash or Skin Infections: If your child has a rash with an unknown cause or asuspected skin infection, they should stay home until the rash is evaluatedand treated by a healthcare provider.Sore Throat: A severe or persistent sore throat, especially with fever orswollen glands, should prompt the child to stay home and seek medicalevaluation.Lethargy or Extreme Fatigue: If your child is unusually tired or lethargic,keeping them home to rest is essential for their recovery.To report an absence due to illness, please contact our administration by phone oremail. Upon your child's return to the daycare center, we may request a note from theirhealthcare provider, clearing them to return to the facility if they have been diagnosedwith a contagious illness. Your cooperation in adhering to our absence due to illnesspolicy is crucial in maintaining a healthy and supportive environment for everyone.

If a childexhibits symptoms of illness, such as fever, vomiting, diarrhea, severe cough, or anyother contagious signs, our experienced caregivers will take immediate action toensure the child's well-being and prevent the spread of infection.If a child shows symptoms of illness while at the daycare center, we will immediatelyseparate them from other children to minimize the risk of transmission. The child willbe placed in a designated isolation area under the supervision of a caregiver until theirparent or guardian can pick them up. Throughout this period, our staff will providecompassionate care and comfort to the child, closely monitoring their condition.Isolation/Separation ProtocolsAs soon as symptoms are observed, we will notify the child's parent or guardianpromptly. We kindly request that parents keep their contact information up to date toensure efficient communication during such situations. It is essential that parents orauthorized emergency contacts are reachable and able to arrange for the child'sprompt pickup from the daycare center.Communication With Parent/CaregiverOur caregivers are well-trained in basic first aid and are prepared to respondeffectively to various health situations. In case of minor injuries or non-emergencyillnesses, our staff will administer appropriate first aid and provide necessary care untilparents arrive. For more severe or emergent health concerns, we will activate ouremergency response plan and contact emergency medical services immediately.First Aid

Parents will beinformed immediately of any emergency medication administration.Emergency Situation ProceduresAt Bright Minds Academy, we take every precaution to ensure the safety of our childrenand staff. Our comprehensive emergency preparedness and evacuation procedures aredesigned to handle various scenarios and to provide a secure environment where childrencan thrive. We continuously review and update these procedures to maintain the highestlevel of readiness and responsivenessOur daycare center conducts regular fire drills to familiarize children and staff withemergency evacuation procedures. Our caregivers will calmly guide the children throughthe evacuation process, ensuring that everyone knows the designated evacuation routesand meeting points. We have strategically placed fire extinguishers and emergency exitsthroughout our facilities, and these areas are kept clear at all times.Fire DrillsIn the event of an evacuation due to a fire or natural disaster, Bright Minds Aca willrelocate to Household of Faith Church at 9300 I-10 Service Rd, New Orleans, LA 70127.Parents will be notified as soon as possible to pick their children up from this location. EvacuationsOur daycare center is equipped with essential emergency supplies, including first aid kits,emergency communication devices, and emergency food and water provisions. Thesesupplies are regularly checked and maintained to ensure their readiness in case of anemergency.Emergency SuppliesOur staff members undergo regular training in emergency responseprocedures, including first aid, CPR, and basic life support. Eachcaregiver is familiar with their specific role during an emergency,ensuring a coordinated and effective response. In the event that a child in our care requires stringentpractices to prevent an allergic reaction, we are prepared to accommodate their needs. Prior to enrollment, we request parents to inform us of any known allergies or dietaryrestrictions their child may have. This information is carefully documented and sharedwith our caregiving staff, ensuring that everyone is aware of specific allergy concerns. Weencourage parents to provide written details about the child's allergies, including thespecific allergens, symptoms, and emergency response procedures.Information and CommunicationTo minimize the risk of allergen exposure, we maintain a strict no-sharing food policy atBright Minds Academy. Our caregivers closely monitor snack times and meal preparationto prevent cross-contamination. We also ensure that all staff members are trained inrecognizing allergy symptoms and administering emergency medication, such asepinephrine auto-injectors, in case of severe allergic reactions.Prevention MeasuresTo ensure the safety of all children, we kindly request that parents do not bring food fromhome to share with others (except in cases of birthdays or celebrations). In the event ofdietary restrictions, please refer to the section titled “Dietary Restrictions.” If sendingsnacks or meals from home for your child, please ensure they are free from any allergensthat could pose a risk to other children. We appreciate your cooperation in adhering to thisguideline, as it allows us to maintain a safe and allergen-aware environment for allchildren.Food From Home and Snack Sharing

BRIGHT MINDS ACADEMYHOME OF THE YOUNG READERSEpiPen PolicyEpinephrine is the drug of choice for the emergency treatment of severe allergic reactionsto insect stings or bites, foods, drugs, or other allergens and for basic life support treatmentfor severe asthma. Epinephrine mimics the responses of the sympathetic nervous system.It quickly constricts blood vessels to improve blood pressure, reduces the leakage from theblood vessels, relaxes smooth muscle in the bronchioles to improve breathing throughbronchodilation and alleviate the wheezing and dyspnea, stimulates the heartbeat, andworks to reverse the swelling and hives. The drug takes effect within seconds, but theduration of its effectiveness is short (about 10-20 minutes).The Bright Minds Academy trained staff utilizes the auto-injectable epinephrine, adisposable delivery system for self-administration. The Epi-Pen Jr. has a spring activatedneedle that is designed to deliver a single precise dose (0.15 mg. of 1:1000 solution) ofepinephrine to infants/children under 8 years old when activated. It may be necessary invery severe reactions to administer a second dose after five minutes if initial response isinadequate. In order for theCenter to assume that responsibility, the following guidelines must be followed: Bright Minds Academy may only administer medication that is in the original containerbearing the original label with the Child’s name, prescription number, date, physician’sname, and directions for use.A Medication Authorization Form must be filled out completely on a daily basis for eachmedication that is to be administered by staff. A Medication Authorization Form must be completed, the medicine must be accompaniedby the dated pharmaceutical information pamphlet that indicates the followinginformation: child’s name, medication, dosage, prescribing physician, dispensingpharmacy and possible side effects.Prescribed medicationA Medication Authorization Form must be completed on a daily basis. Bottles will be refrigerated and warmed bywater no microwaves will be used for warming bottles. Empty bottles will be rinsed and placedin the child’s diaper bag daily. The center encourages breast feeding and has a designated areaespecially designed for those mothers who choose to come to the center and feed their child.Toddlers: Meals are served to each child and the children are encouraged, not forced, to eat.We encourage children to taste each item being served. During snack time, children have theopportunity to develop independence and self-help skills by serving themselves when they areready to eat.The major meal of the center is served at lunch. However, occasionally, there are situationsthat result in the expulsion of a child from our program either on a short term orpermanent basis. These situations are always unfortunate. We want staff and parents toknow we will do everything possible to work with the parents/guardian, to prevent thispolicy from being enforced. Boy’s uniform is as follow: Lightblue polo shirts, navy blue pants or shorts and any type of shoes or tennis no sandals.Girl’s uniform is as follow: Light blue peter pan collar or light blue polo shirts, navyblue pants, skort, skirts, shorts, or jumpers. Girls can also wear plaid smocks, jumpers,shorts, pants and any type of shoes or tennis no sandals. Parents that would like to purchase the plaid smocks can do so at Young’s Fashion. All children should have a complete change of clothing at the center at all times. Allpersonal items must have your child’s name on them. All children should have a blanketand crib size sheet to go on their cot. We supply individual cots here at the center. Allwashable materials will be sent home every Friday to be washed and returned to thecenter on that Monday. Children are NOT ALLOWED to wear beads in their hair. The beads are considered tobe a choking hazard and a safety issue. Your child will not be allowed in the center withbeads in their hair.
