Volunteers engaged in helper duties at the Pony Club State Championships where the usual duties involve, or are likely to involve, contact with a child, such as Team Manager, Gear Checking, Marshalling will be required to have a current WWCC unless a parent exemption applies. A Parent exemption applies if you are volunteering and have a child under the age of 18 actively involved in the event you are volunteering

5 | P a g e REFERENCE DOCUMENTS Pony Club WA Eventing Rules State Competition General Regulations Pony Club Australia National Gear Rules Pony Club WA Appendixes to support the Pony Club Australia National Gear Rules HELPER DUTIES • Helpers must be over 16 years of age and provide their name and mobile phone number at the time of entry. XC judges must be over 18 years of age. • Sign Up will be used for Helper Duties. It will be open at an advertised time, prior to close of entries, to accommodate the Pre-Event helper duties. • A helper needs to be provided for each horse/rider combination. No Self-Help is available. • Volunteer helpers over the age of 18 that will be having contact with children in the line of their duty and to whom parent exemption does not apply MUST have a current Working with Children Check. • Helper Duties can be 3-4 hours duration. If your helper duty only takes an hour ie SJ Pack Away – you will be given other duties to make up the time. • If you have multiple riders, you may be given 1 longer duty instead of two 3-4 hour duties where possible. • Your helper duty might clash with your child’s riding time – we apologise in advance but your Team Manager will be there to help your child. • If you can’t make your Helper Duty – it is your Club’s responsibility to fill in for you. • If your helper does not turn up to do your duty on time – you will face immediate elimination. • If you scratch prior to the event after the draw has been posted, it is your Club’s responsibility PROTESTS Only the owner or his authorised agent, or the rider of a horse taking part in the compeon or in a team event, only the team manager is entled to lodge an objecon/protest. Protests must be in wring on the prescribed form, signed by the person making the protest, and presented personally to the Event Secretary/Technical Delegate/Steward together with any supporng evidence, names of witnesses and the necessary deposit of $50. Any person making a protest should, if possible, secure witnesses to the incident and any other form of evidence, and either bring them to the body before which the protest is lodged, or obtain written statements from them, duly signed, together with their names and addresses. Notwithstanding any provision to the contrary, protests against any of the following maers may only be lodged with the Appeals Commiee, and within the following me limits, and a decision by the Technical Delegate/Steward in these maers, is a prerequisite to a right of appeal to the Appeal Commiee: ▪ Protests concerning the eligibility of an athlete or horse or to the conditions of the arena: not later than 30 minutes before the start of the relevant competition. ▪ Protests concerning irregularities or incidents during a competition, or the classification of a competition: not later than 30 minutes after the posting of results on the event notice board. You can find the protest form on the Pony Club WA website; PROTEST FORM CANCELLATIONS & SCRATCHINGS Scratchings and/or any changes to entries must be forwarded to the Club Team Manager who will advise the Marshal’s office or information desk. No additional entries or alterations will be accepted on the day.

PONY CLUB WA – NO DOG POLICY This is a dual Gidgegannup Pony Club and Pony Club WA event, and the policy of NO DOGS will be strictly adhered to. Failure to abide by this policy may result in the elimination of rider(s). Assistance animals approved by DLGSCi are exempt from this rule. Persons with an Assistance Animal may be requested to provide their documentation. BIKES/SCOOTERS Bikes and scooters are not allowed at the venue. REFUNDS Members requesting a refund should provide supporting evidence such as a medical or vet certificate to Jotform. Refunds must be requested within 7 days of the event. Refunds may be subject to an administration fee. SWABBING Pony Club WA adheres to a policy of random swabbing at our State competitions. STATE LEADERBOARDS Pony Club WA Leaderboard points will be awarded as per the information on the Pony Club WA website https://www.ponyclubwa.asn.au/leaderboards/ THE CHAMPIONSHIPS ARE RUN IN ACCORDANCE WITH THE CURRENT PONY CLUB WA RULES AND POLICIES

13 | P a g e PARKING/CAMPING Trucks, goosenecks and cars with floats can park and camp on the grounds from Thursday afternoon onwards. Parking and camping areas will be clearly marked on maps and bunted. Space is limited and we ask that everyone uses as little space as possible. Parking maps will be available on Facebook. Generators must be off before 10pm and not started again before 6am. The cattle yards and pens on the southern side of the grounds are NOT intended for use by horses and riders use them at their own risk EVENING MEALS & CANTEEN Gidgegannup club canteen will be available from Saturday 8.30am and Sunday 7.30am. Ice can be purchased in Gidgegannup. CHANGES, WITHDRAWALS, SUBSTITUTIONS AND REFUNDS Before close of entries, riders must make their own changes or withdraw on Event Secretary prior to the closing date. If you withdraw prior to close of entries a refund less 5% of the entry cost will be given. Aer close of entries, there will be no refund of entry fees except where a member provides supporng evidence such as a medical or vet cercate to Jotform. Refunds must be requested within 7 days of the event. Refunds may be subject to an administraon fee. RIDER BIB/NUMBERS Rider bib/numbers are required for all phases. All competitors must print their own back numbers before competing in their dressage test. MANURE, HAY AND STRAW No hay, straw or rubbish to be left on the grounds or in the stables. Please take it away with you or place it in the skip bins situated around the grounds, otherwise camping overnight may not be allowed in the future. PLEASE DO NOT PUT MANURE AROUND TREES OR IN THE BUSH AREAS AMBULANCE, VETERINARY & FARRIER SERVICES Ambulance, Veterinary and Farrier costs incurred at this event are the responsibility of the rider.

Placings will be awarded from first to third. These awards are made to eligible, registered Thoroughbred or Standardbred horses that compete in the Championship classes. All Thoroughbreds and Standardbreds who were bred for the purpose of racing qualify for the Off the Track Awards. When entering you will be asked to provide the Passport details, racing name and/or microchip details of your horse.

TEAMS DRESSAGE TROPHY Donated by the Australian Quarter Horse Association. 1973 This trophy is presented to the Grade PC105 Team, which obtains the lowest number of penalty points with any three riders in the Dressage phase. The score of an eliminated dressage rider will not count. GRADE PC 95 LINDISFARNE TROPHY Donated by Mrs Jean Lishman This trophy will be presented to the Grade PC95 Team with the lowest number of penalty points with any three riders over the three phases. TEAMS DRESSAGE TROPHY Donated by Margaret River Pony Club This Trophy is presented to the Grade PC 95 Team which obtains the lowest number of penalty points in the Dressage phase with any three riders. The score of an eliminated dressage rider will not count. GRADE PC 80 SOUTH WEST ZONE TROPHY Donated by the South West Zone This trophy will be presented to the Grade PC 80 Team with the lowest number of penalty points with any three riders over the three phases. HILLS ZONE DRESSAGE TROPHY Donated by Hills Zone This Trophy is presented to the Grade PC 80 Team, which obtains the lowest number of penalty points in the Dressage phase with any three riders. The score of an eliminated dressage rider will not count. GRADE PC 65 PRESTIGE LOANS AND WEALTH CREATION TROPHY Donated by Prestige Loans and Wealth Creation This trophy will be presented to the Grade PC 65Team with the lowest number of penalty points with any three riders over the three phases. HB HORSEWEAR TROPHY Donated by HB Horsewear This Trophy is presented to the Grade PC 65 Team, which obtains the lowest number of penalty points in the Dressage phase with any three riders. The score of an eliminated dressage rider will not count. INDIVIDUAL CHAMPIONSHIP There will be an award for the rider with the lowest penalties in each grade. This rider will be the Grade Champion.
